Job Description

Overview of the Role

We’re seeking a highly organized, tech-savvy Engineering Administrator to keep our Engineering projects running smoothly from concept to completion. You’ll coordinate projects, manage data and key metrics, and streamline communication across teams to support the success of our Technology Department.

What You’ll Do

  • Project Coordination
    • Manage and prioritize incoming Case, Estimate, and SME Request queues, ensuring accurate tracking of status, due dates, and ownership.
    • Create and manage Procore projects for new opportunities, maintaining alignment between Sales, Engineering, and Operations.
    • Organize and schedule Site Survey requests, coordinating with customers, Engineers, and third-party technicians to ensure timely and accurate data collection.
    • Oversee completion and closeout of site surveys, maintaining organized documentation and version-controlled project folders.
    • Support development of Groove’s Technology Audit framework and act as Project Manager for all audits, including coordination with clients and third-party vendors.
    • Assist Engineers with creating and organizing estimates for the Sales Team and support project budget setup within internal tracking platforms.
  • Performance Tracking & Reporting
    • Monitor and manage all Engineering KPIs, producing dashboards and reports for review by the Leadership Team.
    • Create, maintain, and optimize Engineering and SME dashboards for visibility into workload, project status, and team performance.
    • Build and maintain internal reporting tools (e.g., FastField, Asana, Procore) to centralize project visibility and operational insights.
  • System Administration & Process Development
    • Build, maintain, and improve digital workflows for site surveys, technology audits, and data collection in FastField.
    • Manage and continually improve the Engineering Intranet page, ensuring accessibility to key documents, templates, and process resources.
    • Collaborate with Engineering leadership to define and refine process flows in Salesforce
  • Documentation, Templates & Training
    • Develop standardized templates for Scope of Work (SOW), Statement of Work (SOW), Assumptions & Exclusions, and RACI charts to support clarity and consistency.
    • Create and maintain process documentation, training materials, and knowledge resources in collaboration with Directors of Technology (DOTs).
    • Support the creation and maintenance of SOPs, SOWs, and engineering documentation to align with company standards.
    • Contribute to team learning initiatives by organizing training sessions and creating lesson content in Seismic.
    • Schedule and facilitate team meetings for Engineers, SMEs, and Technology groups — preparing agendas, taking notes, and tracking follow-ups.
    • Prepare, edit, and maintain management meeting slide decks and visual reports for weekly leadership reviews.

    • Proficient in Microsoft Office and other web-based applications
    • Good understanding of project management tools and Salesforce
  • Nice-to-Have
    • Experience in engineering, project coordination, or technical administration
    • Familiarity with FinancialForce, Asana, or other project management tools
    • Certifications or coursework in project management, business administration, or technical disciplines
    • Preference given to candidates with technical certifications, education, or background
