Type: Full Time | Reports to: Director of Member & Guest Experience

Compensation: Competitive salary + commission (% of bookings) + benefits

The Opportunity

As our Events Coordinator, you’ll lead the creation and execution of unforgettable private, public, and club-hosted events—bringing together our members, guests, and community in experiences that embody the St. Pete Athletic brand. From small group celebrations to lively social gatherings and corporate functions, you’ll be the driving force behind every detail, ensuring each event is thoughtfully planned, expertly executed, and uniquely memorable.

This is a dynamic role that blends sales, planning, creativity, and hands-on leadership—perfect for a self-starter with a passion for hospitality and an eye for exceptional experiences.

What You’ll Do

Sales Outreach & Communication

  • Serve as the primary point of contact for small to medium group private event inquiries, tours, and client communications.
  • Pursue outbound relationships, conversations, and campaigns to develop leads in collaboration with the marketing team.
  • Maintain an active event calendar and ensure timely communication cadence with prospects and booked clients.
  • Curate and present seasonal event packages and offerings that reflect the club’s lifestyle and brand identity.
  • Develop post-event follow-up plans to foster long-term relationships with clients and encourage repeat bookings or referrals.

Planning & Executing

  • Plan, coordinate, and execute all private, public, and club-hosted events and experiences, including social gatherings, corporate functions, and member celebrations.
  • Develop detailed event proposals, contracts, timelines, and floor plans in alignment with client needs and club standards.
  • Manage all event logistics including vendor coordination, staffing requirements, setup, breakdown, and service execution in collaboration with F&B managers.
  • Act as an on-site point of leadership during events, coordinating across concierge, F&B, athletics, and other departments for seamless execution.
  • Work closely with culinary, beverage, and operations teams to ensure elevated event delivery.
  • Uphold exceptional service standards throughout the planning process and day-of execution.
  • Ensure compliance with licensing, insurance requirements, and club policies during all events.
  • Develop and enforce safety plans, emergency protocols, and guest management procedures.

Strategy & Performance

  • Oversee event budgeting, invoicing, and post-event reconciliation to ensure profitability and client satisfaction.
  • Track, report, and adjust to key event performance metrics, client feedback, and revenue growth opportunities.
  • Utilize event management software or CRM tools to track leads, contracts, timelines, and performance.
  • Research trends and propose new event concepts that align with the club’s brand, athletic culture, and social atmosphere.
