Job Description

JOB SUMMARY
Provide administrative support to the Chief Revenue Officer & US President of Global Disciples (US President).

GOAL
This job exists to effectively:

  • Enable the US President to fulfill and excel in all aspects of his responsibilities, allowing him to focus on his areas of strength and primary responsibilities.
  • Schedule and plan for key meetings, including the US Foundation Board, US Leadership Team, Management Team, and HR Council, by coordinating agendas, assembling packets, and taking/disseminating minutes.
  • Develop and maintain an overall awareness and understanding of the US Team’s current activities.
  • Provide administrative support in the Lancaster Office.

RESPONSIBILITIES

Goal 1. Enable the US President to fulfill and excel in all aspects of his responsibilities, allowing him to focus on his areas of strength and primary responsibilities.

  • Provide comprehensive administrative support to the US President, including calendar management, travel arrangements, and correspondence.
  • Greet US President’s visitors at the Lancaster Office and escort to the appropriate area for meetings.
  • File and retrieve documents, records, and reports and submit the US President’s expense receipts.
  • Handle sensitive information with utmost discretion, always maintaining strict confidentiality.
  • Assist in the execution of key projects and initiatives, contributing to the company’s strategic objectives. Lead special projects and initiatives as directed by the US President. Conduct research and provide analysis on various business topics.

Goal 2. Schedule and plan for key meetings, including the US Foundation Board, US Leadership Team, Management Team, and HR Council, by coordinating agendas, assembling packets, and taking/disseminating minutes.

  • Take minutes for the US Leadership Team, Management Team, US Foundation Board, HR Council, and other meetings as requested. Keep presentation materials and meeting minutes available for the US Leadership Team, Management Team, and US Foundation Board meetings, ensuring that printed packets and digital files are archived and accessible.
  • Schedule meetings, and perform related duties such as preparing materials and the room, coordinating hospitality needs, arranging conference and video calls, and A/V.

Goal 3. Develop and maintain an overall awareness and understanding of the US Team’s current activities.

  • Participate in monthly US Leadership Team, Management Team, Organizational Communication Meeting (OCM – administration meeting) and other cross team meetings as needed.

Goal 4. Provide administrative support in the Lancaster Office.

  • Order and maintain office supplies and hospitality essentials such as coffee, water, paper products, etc.
  • Serve as point-of-contact for Global Disciples’ volunteer program.
  • Arrange for the lodging and transport of remote US team members when they come to Lancaster.
  • Provide leadership to Global Disciples’ monthly OCM; providing agenda in advance, facilitating the meeting, distribution of notes, and ensuring follow up actions are assigned to an owner. Update hoteling document monthly for distribution to hybrid staff.
  • Spearhead Staff Engagement Committee and oversee monthly, quarterly, and seasonal staff engagement activities.
  • Coordinate with office cleaning vendor regarding supplies needed and work schedule. See that recyclable trash cans are emptied, and additional trash is taken to the dumpster as needed.
  • Review calendar invites to ensure current staff are included in events/meetings.
  • Other administrative duties as assigned.

QUALIFICATIONS

  • Must be a committed follower of Jesus Christ and an active member of a Christian church.
  • Well-organized, detail-oriented, and able to keep a variety of projects moving forward.
  • Excellent computer skills, including mastery of Microsoft Office Suite & Office 365.
  • Ability to take initiative in decision-making.
  • Adaptable, with a pleasant demeanor and positive interaction with others.
  • Capacity for and enjoyment of working independently.
  • Passion for the mission and work of Global Disciples and alignment with its statement of faith, goals, purposes, and objectives.
